Print to PDF and attach to Outlook for Mac

This isn’t a new feature but it’s worth a reminder that PDFs can be printed directly to Outlook as attachments. I mentioned this feature in the Office for Mac forums a few days ago in response to my post about using Automator to create a similar service and folks have really enjoyed the tip. It has that gee-whiz factor and comes in handy when you want to send your current document to someone via E-mail.

Office 2011 has dozens of Automator actions to make scripting tasks possible without necessarily having to know AppleScript. Outlook for Mac alone has more than 20 actions that you can use individually or in combination with other actions. Outlook, Outlook, how does your Database grow?

Administrators on the MacEnterprise.org mailing list recently discussed their observations about the behavior of the Microsoft Outlook for Mac Database file. Unlike Microsoft Entourage, which stores messages within the Database file and creates one multi-megabyte or even multi-gigabyte file, Outlook is suppose to store messages separately from the Database file. The purpose is to make Time Machine backups and similar management much easier.

Using Quick Look in Entourage

One of the features introduced in Mac OS X 10.5, or Leopard, is Quick Look, which allows you to view the contents of a file without actually opening it. Apple has made sure that Quick Look works with a variety of file formats, including Word documents, Excel spreadsheets, and PowerPoint presentations. For more information, check Apple’s website. Quick Look is prominently featured in the Finder, but as a feature at the level of the operating system, it is also available to other applications. For example, Apple has built the feature into its own e-mail software, called Mail; as a result, you can use Quick Look to preview your attachments instantaneously, without having to open any supplementary application. The question that must be on your mind right now is: can I use Quick Look in Entourage as well? The answer to that question is: no, but yes. . . .

Attachments

Messages can get stuck in the Outbox for different reasons, but most commonly it’s due to an attachment that’s too big. Entourage doesn’t have a limit but your ISP does.

Entourage 2008 is better about handling “send” when there is a problem message, but sometimes this can lock up Entourage until you remove the message.

Starting with Entourage 2004, you can start Entourage from default settings – i.e. with Send & Receive All schedule OFF . . .

E-mail message as attachment is unreadable in Exchange Server 2007 environment

Entourage 2004 and 2008 users are unable to receive e-mails that contain other e-mails as an attachment if their email server is Exchange 2007 SP1. The solution is to Install RU2 directly on Exchange server. Links and details follow.
