			<content:encoded><![CDATA[<p>Under File &gt; Export you can select to export all your data as .olm file. This file can be used as backup or to move your data into a new Identity. Do you get &#8220;Done&#8221; at the end or do you get &#8220;one or more items failed to export&#8221;? If you do not get &#8220;Done&#8221;, all your data was not exported.</p>
<p>If you are using the .olm file to create a new identity, I suggest you delete your Exchange and IMAP accounts after putting Outlook into Work Offline before exporting.. (Be sure to create a copy first of your Identity before deleting accounts.) This deletes the cache files in Outlook but not on the server. Now you only have to deal with &#8220;On My Computer&#8221; messages. You can download your Exchange and IMAP emails in the new Identity.</p>

<p>After exporting you should get Done!</p>

<p>If you have set to partially download messages, you will get a message saying some items might still on the server. This is OK, but if you get a message that one or more items failed to export not all data was exported. It&#8217;s possible you have corruption but your first step is to look for folders with over 2GB in data. Usually this is the Inbox and Sent folders. If you have archived data, be sure to check this folder too.</p>
<p>I often see users have mail going back several years especially in the Inbox and Sent folders. I find that if you create subfolders e.g. Inbox 2011, Inbox 2010, Sent 2011, Sent 2010 etc. this usually gets the folders under the 2GB limit. Only Exchange accounts will give you a folder size. From experience I find between 6,000-10,000 messages will fall under the 2GB limit. If you drag a folder to the Desktop and it&#8217;s 2GB, most likely you still need to further prune that folder.</p>
<p>Folders by year will never change. By dragging these older folders to the Desktop as .mbox file, you will have archived that data. You will always be able to add this data back if your Identity is lost or damaged.</p>
<p>&nbsp;</p>
<p>After pruning your folders, now try File &gt; Export all items as .olm file.</p>

<p>If you get Done, you can use the file to create a new Identity.</p>
<p>If it fails, there is corruption in your data. Previously, in Entourage we had a free script to export folders as .mbox file that would help identify folders with corruption. This script no longer works in Outlook. You can download and try the EmailChemy demo to see if it will export all your data as .mbox file before purchasing. It&#8217;s $29.95 to purchase.</p>
<p>Outlook requires that you import .mbox files one at a time. If you have a lot of folders this can be very time consuming. EmailChemy can convert a folder of .mbox files into a .olm file for easy import into your new Identity.</p>

<p>If you need to move to Apple Mail from Outlook, this is your best option if you have a lot of folders that are not on the server.</p>

You can try rebuilding, but if that fails, you need to move to a new Identity. If you do not have any data under &#8220;On My Computer&#8221; folders: messages, contacts, events, notes and tasks, you can simply start over in a new Identity. Enter your Exchange account and let your data download into your new Identity.</p>
<p>This option works <span style="text-decoration: underline;">as long as you can open the Identity</span>. Some users might need to revert to v14.1.4 in order to use this option. <a title="How to revert to Microsoft Office for Mac 14.1.4 after upgrading to SP2" href="http://www.officeformachelp.com/2012/04/how-to-revert-to-microsoft-office-for-mac-14-1-4-after-upgrading-to-sp2/">How to revert to Microsoft Office for Mac 14.1.4 after upgrading to SP2</a>.</p>
<p>Always start by making a copy of your Identity in the Finder as described in <a title="How to recover your data when rebuilding, restoring and upgrading fails" href="http://www.officeformachelp.com/2012/05/how-to-recover-your-data-when-rebuilding-restoring-and-upgrading-fails/">How to recover your data when rebuilding, restoring and upgrading fails</a>. This is quicker than restoring from Time Machine or other backup.</p>
<p>1)  Set the &#8220;Main Identity copy&#8221; as default in Database Utility. Open Outlook &amp; put Outlook info Work Offline under Outlook in the Menu bar.</p>

<p>2)  Delete your IMAP and Exchange accounts. This deletes the cache files in Outlook. Your data is still on the server. You are left with only data that is &#8221;On My Computer&#8221;. We are working on your Copy so your data is safe in the original Identity.</p>
<p><em>Tip: Take screen shots of your accounts especially the advanced settings so you can easily enter your accounts into your new Identity. The new SP2 Identity has improved autodiscover for most popular email accounts. Enter your email and password and let Outlook configure your account.</em></p>
<p>3)  Under File &gt; Export select the default action to export all items as .olm file. In the export process, <span style="text-decoration: underline;">do not select the option to delete</span>.</p>

If you do not get &#8220;Done&#8221;, this indicates corruption or you have folders that are over the 2GB limit. <p>4)  Quit Outlook.<strong> </strong></p>
<p><strong>5)  If you have not updated to Service Pack 2 (SP2) 14.2.1, do so now.</strong> You can compress (zip) your Microsoft Office 2011 v14.1.4 folder in Applications in case you need to revert.</p>
<p>6)  Open the Database Utility. Hold down the Option (ALT) key then click on the Outlook icon in the Dock.</p>
<p>7) Click on Add (+) and type a name for the new Identity. Make it distinctive. It&#8217;s easy to get confused when working with multiple Identities. You can always change later. I always like to add something so I know it&#8217;s a different Identity than the previous Main Identity.</p>

<p>9) Under File &gt; Import select the OMC.olm file on your Desktop.</p>

<p>The imported file will show up in the Navigation Pane (folder list) for each item. Unlike Entourage, where only messages showed up as an imported file, each item (contacts, events, tasks, notes) will show up separately.</p>

<p><strong>10) Move the imported data into the local folders.</strong></p>
<p>You&#8217;ll need to select the messages in the default folders (Inbox, Drafts, Sent, Deleted Items) and move to the local folders. You can drag any custom folder to it&#8217;s correct location. You can delete the imported folder structure after you move all messages and folders.</p>
<p>You&#8217;ll also need to move the contacts, events, tasks and notes to their local folders. <span style="text-decoration: underline;">Calendar events need to be shown in List view in order to move</span>. <a title="Move Calendar Events" href="http://www.officeformachelp.com/outlook/faqs/import-options/#faq9-move_events">See directions here.</a></p>
<ul>
<li>Uncheck the top local folder.</li>
<li>Check the imported (OMC) folder. When you select all, you are only selecting the items from the imported file.</li>
<li>Drag to the top local folder.</li>
<li>Delete the imported file structure after moving data.</li>
</ul>
<p><strong>11)  Optional method to add back Signatures and Rules. </strong>(You can skip this step if you don&#8217;t use rules or have a simple signature. For users with complex rules and signatures it can save some setup time. Rules will need to have folder destinations reset, but you don&#8217;t have to recreate all the actions. Do this BEFORE you go online!)</p>
<p><span style="text-decoration: underline;">Make a copy of your Identity</span>. This option could result in data loss so we want to be sure your hard work is not lost. This requires that you rebuild your Identity after changing out these folders.</p>
<p>1)  Drag over these folders from your old Identity Data Records folder.</p>
<p><em>YOUR User&#8217;s folder/Documents/Microsoft User Data/Office 2011 Identities/Main Identity/Data Records</em></p>
<p>Some folders might not exist if you have not used that feature. I do not recommend bringing over other folders. Because of the changes in SP2, it&#8217;s best to make some setting in the new SP2 Identity.</p>
<ul>
<li>Mailing Lists</li>
<li>Rules</li>
<li>Signature Attachments</li>
<li>Signature</li>
</ul>
<p>2)  Rebuild your Identity.</p>
<p><strong>12)  Add your Accounts.</strong></p>
<p>Set Outlook to Work Online under Outlook in the Menu bar. Enter your account info.</p>
<p><strong>POP:</strong></p>
<p>The new Outlook Identity will not know you have downloaded all the old messages and will download all messages left on the server again. Before you enter your POP account in Outlook, log into your account with your browser. Move all the older mail out of the Inbox. Outlook only downloads from the Inbox. Leave only those new messages you have not downloaded.</p>
<p>Set Schedules for POP accounts to check every 10-15 minutes. If you set to every two minutes, Outlook will hardly have time to connect before the next schedule starts. Most ISPs request users use either 10 or 15 schedules. You can manually check Send &amp; Receive All when you are looking for an important messages.</p>
<p>Because POP messages are vulnerable to loss when you have Identity issues, I recommend that everyone move to IMAP if possible. See this chart &#8220;<a href="http://www.officeformachelp.com/outlook/sync-faqs/#sync2a%20">Compare Sync options for POP, IMAP &amp; Exchange Accounts</a>&#8221;</p>

<p><strong>IMAP and EXCHANGE:</strong></p>
<p>Before adding your IMAP and/or Exchange accounts, you might want to log into your account with your browser and clean up your Inbox. It&#8217;s best to keep your Inbox as clean as possible. Archive older messages to a subfolder at the root level. Do not make subfolders under the Inbox for Exchange accounts. Also not advised for IMAP. While Outlook for Windows seems to handle large Inboxes, Outlook for Mac works best with smaller Inboxes. Any folder with more than 2GB of data is going to be difficult to rebuild and can cause database rebuild failure. I find that between 6,000-10,000 message will hit the 2GB limit. Sorting by year is usually helpful to reduce large folders. The folders by year will never change. You can drag these folders to the Desktop as .mbox files and you&#8217;ll never loose that data. Do the same for your Sent folder. I rarely see other folders that&#8217;s over the 2GB limit unless it&#8217;s an archive folder.</p>
<p><strong>IMAP and Exchange accounts are not included in Schedules!</strong></p>
<p>Outlook checks the Exchange server for updates every minute, any folder that has updates will subsequently be synced. Since Outlook has a limit on how many folders can be synced at a time, there can be a queue of folders waiting. The Inbox does get high priority so it will generally sync before other folders that also need to sync.</p>
<p>By default in SP2 IMAP operates as &#8220;push mail&#8221;. It always has an IMAP IDLE command outstanding against the server and will download new email the moment it arrives on the server. For this reason schedules are no longer needed for IMAP accounts. There is no longer a periodic poll for new mail to schedule.</p>
<p>IDLE does not download all new mail the moment it arrives on the server—this only applies to the Inbox and the folder that you are currently viewing. Instead, SP2 now provides a periodic poll, which is why Schedules are no longer needed.</p>

<h3>How to Rebuild your Outlook database</h3>
<p>1.  Open the Microsoft Database Utility.</p>
<p>2.  Click the identity of the database that you want to rebuild, and then click Rebuild.</p>
<p>Before the Database Utility rebuilds a database, it creates a backup copy of your database and moves it into a folder in the /Users/username/Documents/Microsoft User Data/Office 2011 Identities/ folder. The backup copy displays the date and time the backup was created. Example:  Main [Backed up 5-05-2012 13.35] You can delete this Identity after you are satisfied with the rebuild.</p>
<h3>How to re-index your Outlook Identity Spotlight cache files.</h3>
<ol>
<li>From the Apple menu, choose System Preferences.</li>
<li>Click Spotlight.</li>
<li>Make sure Mail Messages is checked under the Search Results tab.</li>
<li>Click the Privacy tab. * Drag your Identity to the list. Wait a couple of minutes.</li>
<li>Remove your identity.</li>
<li>Spotlight will re-index the contents of your identity.</li>
</ol>
<p>You can tell if it&#8217;s still in progress by simply looking at the Spotlight menu: There&#8217;s a blinking dot in the middle of the magnifying glass while indexing is occurring.</p>
<p>You can also monitor the mdworker32 file in Activity Monitor to see it&#8217;s active. Enter mdworker32 in the search filter to easily monitor.</p>

<h3>Reasons Not to Upgrade</h3>
<ul>
<li>Kerio users need to wait for official word from Kerio before upgrading.</li>
<li>Users on <span style="text-decoration: underline;">Exchange 2007</span> might want to stick with 14.1.4 until the Date Stamp issue is fixed.</li>
</ul>
<blockquote><p>&#8220;Microsoft is aware of a problem users are reporting with a missing date header in replied or forwarded mails. This problem occurs when using Mac Outlook 14.2 or 14.2.1 with Exchange 2007. Microsoft understands the cause of the issue and is working on a fix.&#8221;</p></blockquote>
<ul>
<li>Hovering over a name in the message header no longer shows the email address. In 14.2.1, you have to click on the contact icon to open the contact. Then if there is more than one email address for sender you don&#8217;t know which email was used unless you do a Reply to message.</li>

<h3>Recommended:</h3>
<p>In case you need to revert, make sure you have a backup copy of the Microsoft Office 2011 folder in Applications. If you do not use Time Machine or clone your drive, compress (zip) your Microsoft Office 2011 folder in Applications before upgrading.</p>
<p>To compress your Identity, Control-Click (Right-click) on the Microsoft Office 2011 folder in Applications and select Compress.</p>

<p>In the Finder, duplicate (copy) your Main Identity in the Office 2011 Identities folder. I find this is quicker than restoring from Time Machine that requires a rebuild plus copy time.</p>
<p><em>~/Documents/Microsoft User Data/Office 2011 Identities/your identity named Main by default</em></p>
<p>Before upgrading to SP 2 14.2.1, users need to rebuild their Identities and/or export data as .olm file for all their &#8220;On My Computer&#8221; data to ensure a good transition. It&#8217;s much easier to create backup files BEFORE you upgrade in case you need the extra step to make a successful transition to Service Pack 2.</p>
<ul>
<li>Delete your Exchange and IMAP accounts in your backup Identity. This deletes the cache files in Outlook.</li>
<li>Under File &gt; Export select to export all data as .olm file. This gets all your &#8220;On My Computer&#8221; data.</li>
<li>This .olm file can be used to create a new SP2 Identity <span style="text-decoration: underline;">if needed</span>.</li>
</ul>
<h3>Changes to the Microsoft User Data folder</h3>
<p>Microsoft moved some folders to a new location in the Service Pack 2 upgrade. Even though they moved the default location for these files, the old files were left in the Microsoft User Data folder. I suggest that users rename the Microsoft User Data folder in Documents to Microsoft User Data OLD. When you launch 14.2.1, a new Microsoft User Data folder will be created. For long time Office Mac users, your Microsoft User Data folder might contain many other older files as well. Take this opportunity to start with a fresh Microsoft User Data folder.</p>

<p>Quit Outlook, then  move your Main Identity folder to the new Office 2011 Identities folder from Microsoft User Data OLD.</p>
<p>Open the Database Utility. Hold Option (alt) key when launching Outlook to to open Database Utility.</p>
<p>Select your Identity as default.</p>
<p>When you open Outlook, your Identity will upgrade.</p>

<p><strong>If you have issues with the upgraded Identity&#8230;</strong></p>
<p>1) Rebuild your Identity.  <a href="http://www.officeformachelp.com/outlook/troubleshoot/">How to</a></p>
<p>2) Re-index your Spotlight cache files for your Identity, if you have search problems after upgrading.</p>
<p>3) Start over in a <a href="http://www.officeformachelp.com/outlook/faqs/#faq20">new Identity</a>.</p>
<p>Import your .olm file. Under File &gt; Import select to import the .olm file into your new Identity. There is no upgrade process for this option.</p>
<ul>
<li>Your .olm file will show up under an imported folder in the folder list.You&#8217;ll need to select the messages in the default folders (Inbox, Drafts, Sent, Deleted Items) and move to the local folders. You can drag any custom folder to it&#8217;s correct location. You can delete the imported folder structure after you move all the messages.You&#8217;ll also need to move the contacts, events, tasks, notes to their local folders.</li>
<li>Add your  Accounts.**</li>
<li>Delete the Microsoft User Data OLD folder after you are satisfied with your upgrade.</li>
</ul>

<p><strong>**POP Accounts</strong></p>
<p>The new Outlook Identity will not know you have downloaded the old messages and will download all again. Before you enter your POP account in Outlook, log into your account with your browser. Move all the older mail out of the Inbox. Outlook only downloads from the Inbox. Leave only those new messages you have not downloaded.</p>

<h3>Move your Scripts to Application Support</h3>
<p>Open the Application Support folder in your User&#8217;s Library. Move any scripts you have added from the Microsoft User Data folder OLD folder to the new  Script Menu Items folders location. If you have not used scripts, you can ignore this step. <em>If you are a Lion user you will need to enable the User’s Library folder. Hold down the Option key and select Go in the Menu bar to view your User’s Library folder.</em></p>

<p>If you do not see Script Menu Items folders for Excel, Powerpoint and Word, they will be created when you open each application. You will need to move any scripts to these folders as well.</p>
<p>The Preferences folder contains your Custom Dictionary file. These files were moved from the Preferences folder. Compare the size of the Custom Dictionary file to be sure your Custom file was moved. You can delete the Office 2011 in the old location.</p>

<p><span style="text-decoration: underline;">Symptom:</span></p>
<p>Command line installs of Service Pack 2 for Mac Office 2011 may fail.</p>
<p><span style="text-decoration: underline;">Cause:</span></p>
<p>This is due to a problem with a script that cleans up the temporary folder used during the installation. This issue has been seen with Lion and can also occur on any Mac OS if multiple command line installs are done at the same time.<span id="more-6374"></span></p>
<p><span style="text-decoration: underline;">Solution:</span></p>
<p>Microsoft is aware of the issue and looking to remedy it. You can work around this issue by editing the offending script to continue with your deployment of SP2.</p>
<p>1. Open the <strong>14.2.0 updater DMG</strong></p>
<p>2. Drag the <strong>Office 2011 14.2.0 Update.pkg</strong> to your desktop</p>
<p>3. CTRL-Click on the <strong>Office 2011 14.2.0 Update.pkg</strong> and choose <strong>Show Package Contents</strong> from the contextual menu</p>
<p>4. Navigate to the <strong>Resource</strong> folder from within the <strong>Contents</strong> folder.</p>
<p>5. Open the <strong>clean_path</strong> script with any text editor. You may uses TextEdit included with Mac OS</p>
<p>6. On the second line (a blank line) add this text: <strong>exit 0</strong></p>
<p>7. Save the script and then run your installation with this modified pkg</p>
<p>8. We recommend that you restart after this installation to remove the temporary folder from the machine and avoid potential update problems in the future if the temporary folder still existed</p>
<p>The following is what lines 1 and 2 should look like in the modified <strong>clean_path</strong> script:</p>

<p>1)  Drag to the Shared folder any identity that you need to rebuild.</p>

<p>Go to System Preferences  &gt;  Create a New User in Accounts (Users &amp; Groups). Name the User &#8220;Recovery&#8221;. Switch to the New User by logging out under the Apple in the Menu bar or use Fast User Switching.</p>
<p>3) Add a new Folder in the User&#8217;s folder named Applications.</p>
<ul>
<li>Restore your Office 2011 v 14.1.4 folder to the new Applications folder you created in the new Recover User. <a href="http://www.officeformachelp.com/?p=6328">See this article for help restoring from Time Machine.</a></li>
<li>Verify that it&#8217;s 14.1.4.</li>

<p>5) Quit Outlook.</p>
<p>6) Drag from Shared (it actually copies) your Main Identity and place it in the Microsoft User Data folder &gt; Office 2011 Identities folder replacing the blank identity that was created.</p>
<p>~/Documents/Microsoft User Data/Office 2011 Identities/your identity</p>
<p>5) Hold down the Option key and launch Outlook. This will launch the Database Utility.  Select your identity then click on Rebuild.</p>
<p>Unless your database is severely corrupted this should rebuild your identity. I suggest that you export your data as .olm file under File &gt; Export in case you need to access your old data at a later time. Exporting each item (contacts, calendar events, messages, tasks and notes) as individual .olm files can be useful if you need to recover just a specific item.</p>
<p>6) Now that you have recovered your data, you can drag your Identity back to Shared folder for access in your main User.</p>
<p>7) After logging into your main User, drag your identity from Shared to your Office 2011 Identities folder.</p>
<p> <img src='http://www.officeformachelp.com/wp-includes/images/smilies/icon_cool.gif' alt='8)' class='wp-smiley' /> Hold Option key when you open Outlook to open the Database Utility. Set your recovered identity as default.</p>
<p>9) Open Outlook. This should start the upgrade process for SP2.</p>
<p>Note: Currently there are issues with SP2 identities that have no fixes. While you&#8217;ll see some improvements like not having to activate every time you open Outlook with a Thunderbolt or eSATA drive attached and the ability to have multiple signatures attached, there are issues that will require an update from Microsoft to fix.</p>

<h2>Use Time Machine to restore your Microsoft Office 2011 folder</h2>

<p>Even though Service Pack 2 moved some files to your User&#8217;s Library/Application Support, it left the originals in their old location. However, your Outlook identity was upgraded and you will need to revert to copy of your identity prior to the upgrade or start over in a new identity. (See below)</p>
<h2>Use a backup to restore your Microsoft Office 2011 folder</h2>
<p>Users that clone their drives or have saved a copy of Microsoft Office 2011 prior to the update can drag back a copy of the Microsoft Office 2011 folder and replace the updated folder in Applications. Be sure that it&#8217;s 14.1.4 and not 14.2.0. You can click on any Office for Mac to view version info.</p>

<p>Install Microsoft Office 2011. Depending on what version you received when you purchased, you might only need one updater. Be sure to restart between updates. <h3>If you do not update you will get this error:</h3>
<p><strong>This Identity Cannot Be Opened With This Version of Outlook&#8221;</strong></p>
<p style="padding-left: 30px;">This message usually means any Identity saved with a newer version will not open in an earlier version. Until you update the Identity will not open.</p>
<p style="padding-left: 30px;">There was a database upgrade in 14.1.0 and again in 14.1.3. Until you update the Identity will not open. However this time stop at updating to 14.2.0.</p>
<h3>Recover your Outlook data</h3>
<p>Your options to recover your data will vary depending on what type of account(s) you have (POP, IMAP, Exchange) and how long you have used the new SP 2 Identity.</p>
<p>1) <strong>You can start over in a new Identity</strong>. Exchange and IMAP accounts can download messages from the server. If you do have data stored under &#8220;on my computer&#8217; local folders, you can use the method described in <a href="http://www.officeformachelp.com/outlook/troubleshoot/#hailmary">Step 3 (Hail Mary)</a> to move your data back to a 14.1.4 identity from the SP2 identity. Note: Unless you deleted your Exchange and IMAP cache prior to reverting, you&#8217;ll end up with duplicates.</p>
<p>2) <strong>You can restore an identity from Time Machine or backup</strong>. Any mail received and sent for Exchange or IMAP account(s) since the update will simply download from the server. If you have a POP account only incoming mail left on the server will be downloaded. Sent mail is not stored on the server for POP accounts. Starting over in a new Identity and using the <a href="http://www.officeformachelp.com/outlook/troubleshoot/#hailmary">Step3 (Hail Mary)</a> might be your best option.</p>
